What is Order Chat?

Order Chat is a dedicated messaging feature for each order. It allows buyers, suppliers, and assigned sales representatives to communicate about order-specific details, delivery instructions, modifications, and issues.

🎯 Purpose: Keep all order-related communication in one place, attached to the specific order. This makes it easy to reference conversations and track order history.

Who Can Participate?

Order Chat Participants

Buyer

The buyer who placed the order

Supplier

The supplier fulfilling the order

Sales Representative (if assigned)

If a sales rep is assigned to the buyer, they can also participate in order chat

✓ All Participants: Everyone involved in the order can see all messages. This ensures transparency and keeps everyone informed.

How to Use Order Chat

Open an Order

Path: Dashboard → Orders → Click on any order

Navigate to the order details page for the order you want to discuss.

Find Order Chat Section

Scroll down on the order details page to find the "Order Chat" section. You'll see:

  • • All previous messages about this order
  • • Who sent each message and when
  • • Unread message count (if any)
  • • Text input box to send new messages

🔔 Unread Badge: If there are unread messages, you'll see a badge showing the count.

Send a Message

Type your message in the text box and click "Send" or press Enter. Your message is instantly visible to all order participants.

✓ Real-time: Messages appear immediately for all participants viewing the order. Others receive notifications.

Receive Notifications

When someone sends a message in order chat, all participants receive a notification:

  • Bell icon notification
  • Unread badge on the order in your orders list
  • Unread count in Order Chat section

Delivery Instructions

Buyer: "Please deliver to the back entrance. Ring the bell twice."

Provide specific delivery details after placing the order.

Order Modifications

Supplier: "We only have 8kg of tomatoes available instead of 10kg. Can I adjust the quantity?"

Discuss changes before proposing formal modifications.

Delivery Updates

Supplier: "Your order is out for delivery. Expected arrival in 30 minutes."

Keep buyers informed about delivery progress.

Quality Questions

Buyer: "Can you confirm these are organic tomatoes?"

Ask product-specific questions about the order.

Can I use order chat before the order is confirmed?

Yes! Order chat is available as soon as the order is placed, even in PENDING status. This is perfect for clarifying details before confirmation.

Can I see order chat history after delivery?

Yes, order chat history is permanently saved with the order. You can review past conversations anytime by viewing the order details.

What's the difference between Order Chat and Messages?

Order Chat is specific to one order and includes all participants (buyer, supplier, sales rep). Messages are general conversations between two parties, not tied to a specific order.

Do sales reps see all order chats?

Sales reps only see order chat for orders involving buyers they're assigned to. They don't see chats for other buyers.
