Invite and manage your buyer accounts

Overview

As a supplier, you control who can order from your catalog by inviting buyers to connect with your account. This invitation-based system ensures you only work with trusted customers and maintain control over your business relationships.

🔐 Access Control: Buyers cannot see your products or place orders until you invite them and they accept the invitation by signing up.

How to Invite Buyers

Navigate to Buyers

Path: Dashboard → Customers (or Buyers) → Invite Buyer

Enter Buyer Information

Required Information:

Email Address or Phone Number

The buyer will use this to sign up and receive the invitation

⚠️ Important: Make sure you have the correct email or phone number. The buyer must use this exact contact information to sign up.

Send Invitation

Click "Send Invitation" or "Invite Buyer" button. The invitation is sent immediately.

📧 Delivery: The buyer receives the invitation via email or SMS, depending on what contact method you used.

Buyer Signs Up

The buyer receives your invitation and can sign up using OTP verification:

  1. 1.Buyer receives invitation
  2. 2.Goes to ChefOrdering login page
  3. 3.Enters their email/phone (same one you invited)
  4. 4.Receives OTP code and verifies
  5. 5.Completes profile with business details

Buyer is Connected

Once the buyer completes signup, they're automatically connected to your supplier account.

✓ Ready to Order: The buyer can now see your products, browse your catalog, and place orders immediately.

Managing Your Buyers

View All Buyers

Go to Dashboard → Customers (or Buyers) to see a list of all buyers connected to your account. You can see their business name, contact information, and order history.

View Buyer Details

Click on any buyer to view:

  • • Business information and delivery address
  • • Order history and total order value
  • • Custom pricing you've set for them
  • • Assigned sales representative (if any)

Communicate with Buyers

Use the Messages feature to communicate with buyers about general topics, or use Order Chat for specific order discussions.

Set Custom Pricing

Offer special prices to specific buyers to reward loyalty or encourage larger orders. Go to Dashboard → Pricing to set custom prices.

Invitation Status

Pending Invitations

Invitations that have been sent but the buyer hasn't signed up yet. You can resend invitations if needed.

Active Buyers

Buyers who have accepted your invitation and completed signup. They can now order from you.

Best Practices

✓ Invite Existing Customers First

Start by inviting your current customers to bring them onto the platform. This ensures continuity in your business relationships.

✓ Follow Up on Pending Invitations

If a buyer hasn't signed up after a few days, follow up with them via phone or email to ensure they received the invitation.

✓ Verify Contact Information

Double-check email addresses and phone numbers before sending invitations. Incorrect information means the buyer won't receive the invitation.

✓ Communicate the Benefits

When inviting buyers, explain the benefits: easy ordering, order tracking, direct communication, and potential custom pricing.

Can buyers sign up without an invitation?

No. Buyers must receive an invitation from a supplier to access ChefOrdering. This ensures you control who can order from your catalog.

What if I entered the wrong email/phone number?

You can send a new invitation with the correct information. The buyer will need to use the correct contact details to sign up.

Can I remove a buyer from my account?

Contact support if you need to disconnect a buyer from your account. This is typically rare and should be handled carefully.

Can one buyer connect with multiple suppliers?

Yes! Buyers can receive invitations from multiple suppliers and order from all of them. Each supplier-buyer relationship is independent.

How do I know when a buyer accepts my invitation?

Once a buyer completes signup, they'll appear in your active buyers list. You may also receive a notification.
